HACCP

How Do You Choose and Manage Digital HACCP Records?

Quick answer

Choose digital HACCP records by testing whether they support the actual checks, honest corrections, authorised decisions and timely evidence retrieval. Plan permissions, timestamps, offline working, export, backup and recovery before migration. Software supports the management system; it does not determine suitable controls or guarantee compliance.

Start with the control and evidence needs

MyHACCP record guidance distinguishes the study/procedures from records showing operation. Identify the required measurement, units, product/batch links, responsible person, exceptions and review before selecting software.

Do not redesign an approved control merely to fit a convenient form. A green dashboard is useful only if it represents meaningful checks and unresolved exceptions are visible.

Test identity, time and corrections

Digital-record selection checks
Feature Practical test
Access Can permissions distinguish recording, reviewing, editing and release decisions?
Timestamps Are event time, entry time and later corrections understandable?
Correction history Can an error be corrected without silently erasing the original evidence?
Missing checks Are omissions and late entries visible and escalated appropriately?
Retrieval/export Can staff find and export a complete relevant record with its context?

Assess whether shared accounts or unrestricted editing undermine the evidence. Choose proportionate controls and handle personal information appropriately; not every user needs access to every function.

Plan and test migration

  1. Map existing documents, records, units, limits and ownership.
  2. Confirm which data will migrate and which historical evidence remains separately available.
  3. Test representative normal, missed and unacceptable-result scenarios.
  4. Check correction history, attachments, approvals and exports.
  5. Approve the transition and train users before retiring the old workflow.

Illustrative example: a migrated field changes the units or drops a batch identifier. A record can appear complete while losing the meaning needed for a product decision. Reconcile representative records rather than checking only the total row count.

Plan offline continuity and recovery

Test a lost device, network outage and failed synchronisation. Specify an approved fallback, ownership of later entry and reconciliation so missing periods or duplicates remain visible. Do not let a device failure become a reason to invent readings retrospectively.

Define backups, access recovery, export retention and a tested restore process. A provider saying it “backs up data” does not establish that the business can retrieve a specific required record promptly after an outage or contract end.

Verify the digital workflow in use

Article 5 HACCP documentation requirements require current procedures and appropriate evidence, with the applicable framework and proportionality considered. A software subscription does not remove those responsibilities.

Periodically retrieve an example deviation with the original result, correction, decision and review. Check alert ownership and unresolved exceptions. Use the existing HACCP record-review guide to keep the digital workflow connected with the actual plan and change process.

Next steps

  1. Define the actual controls and evidence before choosing software.
  2. Test permissions, timestamps, corrections and exports.
  3. Reconcile migration and test offline/backup recovery.
  4. Train users and verify record meaning and exception follow-up.
